Book a desk at a council office

If you need an office space to work from, you can book a desk at a council office as and when you need to. You can book a desk up to 2 months in advance for:

  • full days
  • part days, such as a morning or an hour
  • collaboration with others.

Please note: if you are currently working in the office but your team haven't been relocated to a neighbourhood area yet, you do not need to book a desk unless you are visiting another location. Service areas will gradually be allocated a new neighbourhood work area based on their team protocols.

Agile hubs

Our agile hubs allow you to book a desk at a variety of locations so you can drop in to an office when you need to. Each agile hub will vary in size and the facilities available. You must book a space, except for touch down desks, before arriving at one of our sites.

Locations

Bridlington Town Hall

Address:

  • Monday to Thursday - 8am - 5pm
  • Friday - 8am - 4.30pm

Hedon Centre

There is no onsite parking available but there are 4 car parks located close to the Hedon Centre. These are:

Neighbourhoods

If your service or team have been relocated to a new, smaller office area you may need to book a desk within this space as part of your new team protocol, so that you can work from the office, when required. This area will only be available to your team or service through the booking system, so cannot be booked by anyone else.

Please note: some teams will operate on a rota system for their working areas and therefore won't need to book a desk. Your manager will confirm with your team what days you need to be in the office if you are following the rota system.

Other locations will be added later in the year as group and service managers work through the 4 step process for returning more staff to the office.

County Hall, Beverley

County Hall currently operates on a neighbourhood system within certain blocks, for teams that have already been relocated to a new workspace. Each neighbourhood will vary in the number of desks and spaces available, depending on the size of teams and service areas.

Onsite parking is limited to specific staff. There are a number of car parks located close to County Hall including:

  • Trinity Lane car park.

Book a desk

You can book a desk at one of our agile hubs or your allocated neighbourhood via your:

  • mobile phone, using the NowSpace app
  • desktop PC or laptop, using the MapView website.

Instructions on how you make a booking using each method are detailed below.

Mobile phone bookings

Download the app and login

You can download the free NowSpace app from the App store (Apple) or Google Play Store (Android) on your smartphone.

Once you have downloaded and opened the app, you need to follow these instructions to login:

  1. NowSpace app login
    Enter the East Riding specific URL in the Account URL field - https://eastriding.resourcescheduler.com/rsmcp

    Please note: you only need to add this URL the first time you login.
  2. East Riding email address
  3. You should then be directed to the Microsoft login screen. Enter your East Riding email address.
  4. Select Next.
  5. Network password
  6. Enter your network password.
  7. Select Sign in.

You should now be logged in and be presented with the new reservation page.

Create a booking reservation
  1. Create new reservation
    Select New Reservation from the side menu.
  2. Select desks
    Select Desks.
  3. Choose a building
  4. Make sure Desks is selected.
  5. Choose a building from the list.
  6. Please note: County Hall is only available for service areas that have already been moved to neighbourhoods for desk bookings.

  7. Select the tick to return to the reservation screen.
  8. Select date and time
    Select Date and Time field.
  9. Select date and time
  10. You can turn on the first available toggle which checks your calendar availability, and the next desk availability.
  11. If you don't switch on the first available toggle, select a Start time for the reservation.
  12. Select the Duration of the reservation.
  13. Select a date.
  14. Select the tick to return to the reservation screen.
  15. Select next
    Select Next.
  16. Choose a desk
    Choose an available desk.
  17. Equipment available and room layout
  18. This will show the equipment that the desk has and the view of the desk.
  19. You can also select Floor plan to view a layout of the room.
  20. Select the back arrow to return to the previous screen.
  21. Book desk
    Select Book.
  22. Booking details and confirm booking
  23. Your name should automatically pull through.
  24. Add a booking description, if required.
  25. Select Book Now
  26. Confirmation of booking
    A confirmation of your booking will now display on your phone. You will also receive an email confirmation of the reservation and the booking should now show in your Outlook calendar.
  27. View reservations
    Your booking reservation will now show under My Reservations on the app.


Please note: you cannot amend a booking, you'll need to cancel your existing booking and then create a new one.

View your booking reservations
  1. Select my reservations
    Select My Reservations.
  2. View all reservations
    All your bookings will display.
Cancel a booking reservation
  1. Select my reservations
    Select My Reservations.
  2. View all reservations
    Select the reservation you would like to cancel.
  3. Delete reservation
    Select Delete Reservation.
  4. Confirm deletion of reservation
  5. Confirm you would like to delete the reservation.
  6. The cancelled reservation will no longer display under My Reservations.

Desktop PC or laptop bookings

Login to MapView
    MapView website login
  1. Visit the MapView - Desk booking system
  2. Select Sign in.
  3. Please note: you may automatically be taken to the Microsoft login screen from the website without needing to select sign in.

    East Riding email address
  4. Enter your East Riding email address.
  5. Select Next.
  6. Network password
  7. Enter your network password.
  8. Select Sign in.

You should now be logged in and be presented with either your default location or the Willerby depot if you have not set one. Follow the instructions below to book a desk.

Create a booking reservation
  1. Select a location
    Choose a location from the Locations page.

    Please note: County Hall is only available for service areas that have already been moved to neighbourhoods for desk bookings.
  2. Setup default map pop-up
    If you haven't previously selected a default location a pop-up message will ask you if you'd like to set your chosen location as your default. If you select Yes, you will be taken to that page every time you login.
  3. Select date and time
  4. Select the time displayed and amend to the time you would like to make your booking for.
  5. Select the calendar and choose the date you would like to make the booking for.
  6. The available desks will display in green.
  7. Select desk
  8. Select one of the green buttons showing the desk number and time or select a desk using the green plus icon from the floor plan. This confirms what equipment is available to you on the right hand side of the screen.
  9. Select Book to choose that desk or Close and select another option.
  10. Opening times for Hedon Centre
    If you have chosen Hedon as the location, a pop-up message will appear displaying the opening times for the site. Select Close.
  11. Reminder to clean your desk
    Once you have selected book, a pop-up message will appear reminding you to clean the desk before you leave. Select Close.
  12. Book desk
  13. Your name should display in the Booking Title field.
  14. Select Book.
  15. View booking
  16. Select Bookings.
  17. Your booking reservation will now display.
  18. View booking
  19. Select Bookings.
  20. Your booking reservation will now display.
  21. You will also receive an email confirmation of the reservation and the booking should now show in your Outlook calendar.

  2. All your upcoming bookings will display.

  2. Select the reservation you would like to cancel.
  3. The booking information will appear on the right-hand side of the screen.
  4. Select Delete.

The cancelled reservation will no longer display under Bookings.

Set a default location
  1. Select a location
    Choose a location from the Locations page.
  2. Setup default map pop-up
    If you haven't previously selected a default location a pop-up message will ask you if you'd like to set your chosen location as your default. If you select Yes, you will be taken to that page every time you login.
  3. Setup default map star
  4. You can also select a location as your default location by selecting the star icon at the top of the page.
  5. Select Yes.

Top tips

When working in an agile hub or your neighbourhood area you should follow these top tips to make sure everyone can work effectively.

Be considerate of others

If you are in a Microsoft Teams meeting use a noise-reducing headset whenever possible. This makes it easier for you to communicate with people on the Teams call, as the microphone and earpiece help to reduce background noise in the room you are in. You will also reduce the noise disturbance for other people in the room.

Remember to clear the desk and clean it before you leave, ready for the next person to use.

Why we are introducing this new way of working

The agile hubs and neighbourhoods are being offered to support our new approach to successful blended and remote working, allowing you to drop in to a location when you need to. The bookings will help us to manage capacity and find out how many people are using the spaces, so we can look to increase capacity at certain locations, as well as add more locations throughout the year.

This forms part of our modern workforce, modern workplace programme to offer you different ways to work and locations to work from. We aim to repurpose existing space in our buildings and work towards joint location opportunities with our partners.
