Book a meeting room at a council office

If you need a meeting room, you can book one at a council office as required. You can book a meeting room up to 12 months in advance for:

  • 30 minute or hourly meetings
  • part days, such as a morning or afternoon
  • full days.

Book a meeting room

You can book a meeting room at Bridlington Town Hall, County Hall, Beverley, or Goole Council Offices.

When you request a room booking at County Hall, it will be given a priority status of high, medium or low depending on the nature of the meeting and who is attending.

Meetings that are given a low or medium status, may be relocated or cancelled if the meeting room is needed for a high priority meeting. If this happens you will be notified via email from corporate support.

When you are booking a meeting with councillors and external organisations, please make sure you let us know so we are able to give it the correct level of status.

If you require a room for a high priority meeting but there isn't one available, please email corporate support. Provide the names of any councillors or external organisations involved.

Make a booking

You can make a booking using your:

  • desktop PC or laptop, using:
    • Resource Scheduler - recommended for general users with a calendar view of all bookings.
    • MapView - floorplan view of the locations of all rooms

Instructions on how you make a booking using each method are detailed below.

Desktop PC or laptop bookings

There are 2 ways you can book a meeting room from your desktop PC or laptop. These are via the:

  • Resource Scheduler website - recommended for general users with a calendar view of all bookings
  • MapView website - floorplan view of the locations of all rooms.

Bookings via Resource Scheduler

Login to Resource Scheduler
    Resource Scheduler
  1. Visit the Resource Scheduler room booking system.
  2. Select your East Riding account.
  3. Please note: you may automatically be logged in after selecting the link and be taken to the Resource Scheduler homepage.

You should now be logged in and be presented with the homepage.

Create a booking reservation
    Select location and meeting room
  1. Choose a location from the left-hand menu.
  2. Select Meeting Rooms.
  3. Select Corporate Meeting Rooms or your neighbourhood such as CR Org Neighbourhood.
  4. Please note: neighbourhood meeting rooms are only available at County Hall and can only be booked by staff within that neighbourhood.

  5. Select a meeting room.
  6. Select date
  7. Select the calendar icon or weekly date.
  8. Select the date you would like to book the meeting room for from the calendar.
  9. Select meeting start time
    Select the time you would like the meeting to start on the calendar.
  10. Add room booking details
  11. A pop up box called Quick Reserve will appear to add the booking details.
  12. In the Reservation Title field replace your name with the title of the meeting.
  13. Add the number of attendees.
  14. Check you have selected the correct room.
  15. Select the setup style for the room, if relevant. This is only available for some rooms.
  16. Add the Start and End time of the meeting.
  17. Type the name of the person that the booking is for in the Requested For field.
  18. Select Yes or No from the Councillor dropdown list to confirm whether a councillor is attending the meeting.
  19. Select Yes or No from the External dropdown list to confirm whether anyone external is attending the meeting.
  20. Select More to request equipment and add more details.
  21. Please note: only the corporate booking rooms have equipment you can request. You can't request extra equipment for neighbourhood rooms.

  22. Reminder to request catering, if required
    A pop up message will appear reminding you to request catering, if required. Select Ok.
  23. Select equipment
  24. Select the Options tab.
  25. Select the relevant checkboxes to request equipment.
  26. Add documents and choose how often the booking is required
  27. Select the Documents tab.
  28. Add links to any documents relevant to the meeting.
  29. If you don't want to schedule recurring meetings select Save.
  30. Select Repeat if you need to make a booking for every day, week or month at the same time.
  31. Recurring bookings
  32. Select how often you need to book the room. There are options for daily, weekly, monthly or ad hoc.
  33. Select Submit.
  34. You should now be able to view your booking on the calendar. You'll also receive a notification of your booking by email.

Please note: to invite people to a meeting you still need to create a Teams meeting or Outlook invite and add the relevant attendees. Let them know the meeting room that has been booked.

Please note: you cannot amend a booking, you'll need to cancel your existing booking and then create a new one.

View your booking reservations
    View bookings
  1. Select Home.
  2. All your upcoming bookings will display under My Reservations.
Cancel a booking reservation - single booking or instance
    Cancel a booking
  1. Under My Reservations, on your home screen, select the cross in the grey box of the reservation you would like to cancel.
  2. Select Ok from the pop up box to confirm deletion.
  3. The booking should no longer display under My Reservations. You may need to refresh the page.
Please note: if you have made a recurring booking, this will only delete the individual instance of the booking you have selected and not the full series of bookings. Follow the instructions below to delete all instances of a recurring booking.

Cancel a booking reservation - recurring bookings
  1. Cancel a recurring booking
    Under My Reservations, on your home screen, select the name of the booking.
  2. Delete series
  3. The booking details will display.
  4. Select the arrow on the More button.
  5. Select Delete series from the dropdown list.
  6. Select Ok from the pop up box to confirm deletion.
  7. The recurring booking should no longer display under My Reservations. You may need to refresh the page.

Bookings via MapView

Login to MapView
    MapView website login
  1. Visit the MapView - booking system.
  2. Select Sign in.
  3. Please note: you may automatically be taken to the Microsoft login screen from the website without needing to select sign in.

    East Riding email address
  4. Enter your East Riding email address.
  5. Select Next.
  6. Network password
  7. Enter your network password.
  8. Select Sign in.

You should now be logged in and be presented with either your default location or the Willerby depot if you have not set one. Follow the instructions below to book a meeting room.

Create a booking reservation
  1. Select a location
    Choose a location from the Locations page.
  2. Setup default map pop-up
    If you haven't previously selected a default location a pop-up message will ask you if you'd like to set your chosen location as your default. If you select Yes, you will be taken to that page every time you login.
  3. Select date and time
  4. A floor plan layout for the corporate meeting rooms or neighbourhood (County Hall only), at the location will display.
  5. Select the time displayed and amend to the time you would like to make your booking for.
  6. Select the calendar and choose the date you would like to make the booking for.
  7. The available meeting rooms will display in green.
  8. Please note: neighbourhood meeting rooms are only available at County Hall and can only be booked by staff within that neighbourhood.

  9. Select room
    Select one of the green buttons showing the meeting room and time or choose a meeting room using the green plus icon from the floor plan. This confirms what equipment is available as standard in that meeting room on the right of the screen. You can request further equipment in step 16.
  10. Select book
    Select Book to choose that meeting room or Close and select another option.
  11. Reminder to request catering, if required
    Once you have selected book, a pop up message will appear reminding you to request catering, if required. Select Close.

  13. A pop up box will appear to add the booking details.
  14. Start typing your name in the Book for field and select it from the dropdown list.
  15. In the Booking Title field replace your name with the title of the meeting. Also make sure you add the number of people attending and the type of meeting to comply with the priority allocation of meetings.
  16. Select Yes or No from the Councillor dropdown list to confirm whether a councillor is attending the meeting.
  17. Select Yes or No from the External dropdown list to confirm whether anyone external is attending the meeting.
  18. Book room details part 2
  19. Select what equipment is required.
  20. Please note: only the corporate booking rooms have equipment you can request. You can't request extra equipment for neighbourhood rooms.

  21. Add links to any documents in the text box.
  22. Select Book.
  23. View bookings
  24. Select Bookings.
  25. Your booking reservation will now display.
  26. You will also receive an email confirmation of the reservation and the booking should now show in your Outlook calendar.
Please note: to invite people to a meeting you still need to create a Teams meeting or Outlook invite and add the relevant attendees. Let them know the meeting room that has been booked.

  2. Select the reservation you would like to cancel.
  3. The booking information will appear on the right-hand side of the screen.
  4. Select Delete.

The cancelled reservation will no longer display under Bookings.

Mobile phone bookings

If you would like to request more equipment than is available within a room, you currently need to use one of the desktop PC or laptop booking options.

Download the app and login

You can download the free NowSpace app from the App store (Apple) or Google Play Store (Android) on your smartphone.

Once you have downloaded and opened the app, you need to follow these instructions to login:

  1. NowSpace app login
    Enter the East Riding specific URL in the Account URL field - https://eastriding.resourcescheduler.com/rsmcp

    Please note: you only need to add this URL the first time you login.
  2. East Riding email address
  3. You should then be directed to the Microsoft login screen. Enter your East Riding email address.
  4. Select Next.
  5. Network password
  6. Enter your network password.
  7. Select Sign in.

You should now be logged in and be presented with the new reservation page.

Create a booking reservation
  1. Create new reservation
    Select New Reservation from the side menu.
  2. Select desks
    Select Desks.
  3. Choose a building
  4. Select Meeting Space.
  5. Choose a building from the list.
  6. Please note: there are no meeting rooms at the Hedon Centre and Willerby Depot.

  7. Select the tick to return to the reservation screen.
  8. Select invite people
    Select Invite People.
  9. Select contacts
    Add the relevant people to the meeting.

    Please note: you can only invite other people if you have amended your phone settings to allow council contacts. If you can't invite people to the meeting you'll need to create a Teams meeting or Outlook invite as well and add the relevant attendees. Let them know the meeting room that has been booked.
  10. Select date and time
    Select Date and Time field.
  11. Choose a date and time
  12. You can turn on the first available toggle which checks your calendar availability, and the next room availability.
  13. If you don't switch on the first available toggle, select a Start time for the reservation.
  14. Select the Duration of the reservation.
  15. Select a date.
  16. Select the tick to return to the reservation screen.
  17. Select next
    Select Next.
  18. Select the filter icon
    Select the filter icon in the top right of the screen if you would like to search for rooms with specific numbers of seats.
  19. Select number of seats
  20. Select the number of seats using the slider.
  21. Select the tick to return to the reservation screen.
  22. Choose a room
    Choose an available room.
  23. Equipment available and room layout
  24. This will show the equipment that is in the room.
  25. Please note: you can't currently request more equipment using the app. To request more equipment please use one of the website booking options.

  26. You can also select Floor plan to view the location of the selected room in comparison to other rooms.
  27. Select the back arrow to return to the previous screen.
  28. Book desk
    Select Book.
  29. Booking details and confirm booking
  30. Your name should automatically pull through.
  31. Add a booking description for the meeting. Make sure you add the number of people attending and the type of meeting to comply with the priority allocation of meetings.
  32. Select Book Now.
  33. Confirmation of booking
    A confirmation of your booking will now display on your phone. You will also receive an email confirmation of the reservation and the booking should now show in your Outlook calendar.
  34. View reservations
    Your booking reservation will now show under My Reservations on the app.


Please note: you cannot amend a booking, you'll need to cancel your existing booking and then create a new one.

  1. Select my reservations
    Select My Reservations.
  2. View all reservations
    All your bookings will display.
Cancel a booking reservation
  1. Select my reservations
    Select My Reservations.
  2. View all reservations
    Select Details of the reservation you would like to cancel.
  3. Delete reservation
    Select Delete Reservation.
  4. Confirm deletion of reservation
  5. Confirm you would like to delete the reservation.
  6. The cancelled reservation will no longer display under My Reservations.
