Create and insert a new email signature - Spring 2022

The latest desktop background image on staff computers is based on our 5 corporate priorities. The new background will be installed automatically during your Windows updates. We ask all staff to update their email signature to match the new desktop background.

How to create and insert it

Unfortunately, IT services are unable to do this for you, so we have put together some simple instructions that will tell you how to update your email signature yourself.

Creating an email signature is much easier than it used to be. We've created a new tool that sets it up for you - and all you will have to do is 'copy and paste' it into Outlook.

  • Step 1 - Create your email signature and copy it to your clipboard

Step 1 - Create your email signature and copy it to your clipboard

Complete the fields below. A preview of what your signature will look like will appear below. Once happy, select 'Copy signature to clipboard'.

Please note: if you want to add in extra information like working hours, you can do this in Step 2.







Step 2 - Paste your email signature into Outlook

Once you have copied your signature to your clipboard, you need to paste it into Outlook. How you do it will depend which version of Outlook you use:

I use Outlook in an internet browser (web-based)

To paste the new signature from your clipboard:

  1. Open up Outlook email.
  2. Select the cog button in the top right of the screen. This will open up the settings for Outlook.
  3. Select View all Outlook settings at the bottom of the menu.
  4. Select Email from the menu on the left, if it isn't already selected.
  5. Select Compose and reply from the sub menu.
  6. If you had a signature already set up you will see it appear in a preview window. You can either create a new signature or delete the existing one by placing your cursor in the preview window and selecting all the content by keyboard shortcut ctrl A then pressing delete or backspace.
  7. You are now ready to paste in your new email signature by using the keyboard shortcut ctrl V.
  8. Your new signature will appear, including all images, links to social media and text. You can now directly edit your signature in the preview window, adding any more information such as working hours or extra phone numbers.
  9. Select Save. You may have to select outside of the preview box for the save button to appear.

Please note: you must not change the font (font type, colour, size) or alter any images or links.

I use the Outlook desktop application

To paste the new signature from your clipboard, please:

  1. Open up your Outlook app.
  2. From the drop down menu select File and then Options.
  3. The options window will open up. Choose Mail from the left menu.
  4. Select Signatures from the menu on the right.
  5. If you had a signature already set up you will see it appear in a preview window. You can either create a new signature or delete the existing one by placing your cursor in the preview window and selecting all the content by keyboard shortcut ctrl A then pressing delete or backspace.
  6. You are now ready to paste in your new email signature by using the keyboard shortcut ctrl V.
  7. Your new signature will appear, including all images, links to social media and text. You can now directly edit your signature in the preview window, adding any more information such as working hours or extra phone numbers.
  8. Select Ok.
